This Privacy Policy describes how Gym Inventory & POS ("we," "us," the "Service") collects, uses, and shares information when gym owners, staff, members, and prospective members use the Service — including any gym's white-labeled pages hosted on this platform.
Information We Collect
Account information: name, email address, phone number, and login credentials for staff, managers, and members.
Membership and transaction data: purchases, membership plans, class bookings, check-ins, and payment records processed through our payment provider, Stripe.
Prospect information: name, phone number, email, and town, submitted through a gym's trial-class signup form.
Signed agreements: a snapshot of trial waivers or membership contracts you sign, along with a captured signature image.
Communication preferences: whether you've opted in to receive marketing text messages, separate from transactional messages.
How We Use Information
To operate your gym account, process payments, and manage class bookings and check-ins.
To send transactional messages you can't opt out of individually, like purchase receipts and account notifications.
To send marketing text messages and emails, but only to those who have explicitly opted in — see the SMS Program section below.
To detect and prevent fraud, and to keep the Service secure.
SMS / Text Messaging Program
If you provide your mobile phone number, you may receive text messages from a gym using this Service, sent through our messaging provider, Twilio.
Message types: transactional messages (purchase receipts, account notifications) and, only if you've opted in separately, marketing messages (class promotions, membership offers, win-back offers).
Message frequency: varies based on your activity and, for marketing messages, the gym's campaign schedule.

Opt-out: reply STOP to any marketing message at any time to unsubscribe. Reply HELP for assistance, or contact your gym directly.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All other categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
Third-Party Service Providers
We share information with the following providers, solely to operate the Service:
Stripe — payment processing and subscription billing.
Twilio — SMS delivery.
SendGrid — transactional and verification email delivery.
Anthropic (Claude) — powers optional AI features, such as class-booking suggestions and location matching. Only gym-scoped data needed to answer your specific request is used.
We do not sell your personal information.
Data Retention
We retain account, transaction, and communication data for as long as your gym account is active, or as needed to comply with legal and payment-processing obligations.
Your Choices
You can opt out of marketing text messages at any time by replying STOP, or by updating your Communication Preferences in your account.
You can request access to or deletion of your personal information by contacting your gym directly, or by emailing us at the address below.
Children's Privacy
The Service is not directed to children under 13, and we do not knowingly collect personal information from children under 13.
Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be reflected by an updated "Last updated" date above.
